Tracking League Buy-in/fee

We changed the way we do the buy-ins for our league tournaments this season. Instead of having a flat, up-front buy-in for everyone, we decided to go with an extra $20 buy-in per tournament. We wanted players to be able to join regardless of how often they expected to be able to play. Our league points simply go toward extra chips for the championship tournament, so even though you might (depending on your tournament results, of course) end up with fewer chips, you'll have paid less.

It was fairly simple until a week or two ago when a couple people who had played with us a few times decided that they'd start playing for points. We generally have about 75% league players and 25% non-league players in our tournaments, and our points formula gives 0 to players not in the league. When I added those players to the league after they decided to pay to play for points, it went back through the previous tournaments and awarded them points for the previous tournaments as well. It wasn't very difficult to figure out that I need to go back and simply do a point adjustment, but it got me thinking that there might be a simpler way overall. Another thing I have to take into account is that when I run the stats to show the standings, it counts ALL of the buy-ins for everyone who is a league member, so I have to keep track manually of how many tournaments each of those players played in but didn't pay the extra $20.

Anyway, my workarounds have been fine so far, just wondering if anyone else has run their league this way and come up with something better.

Here's the thing to keep in mind: the "state" of a tournament (the size of the pot, the amount of prizes, who's been awarded which prizes, how many points a player has, etc, etc, etc) are not "saved" as part of a tournament.  The tournament keeps starting data and actions that have occurred, and the "state" is calculated "on the fly".  So every time a tournament is loaded, the entire "state" is recalculated (as well as every time during a tournament that something happens).

When you run Stats, each tournament is loaded and the state recalculated.  When you change a player's "league" status, this will affect the "inLeague" variable in the Points for Playing formula.  Since the player's league status isn't time-dependent, the player is either in the league or isn't in the league, for every tournament.  As you've gathered, their points changed because of this, and there's no way to say that the player IS NOT in the league for these tournaments and IS in the league for these other tournaments.

Unfortunately I don't have any suggestions for you.  Maybe someone else has had to workaround this?

Guest do not earn points in our league either, but if they join within 30 days after their visit, we will count the points they would have earned for the tournament they attended.  To do this, everyone earns points in Tournament Director.  Then, I export the tournaments to StatsGenie.  Then, I mark guest users on StatsGenie as inactive, and they do not show up on StatsGenie stats.  If that guest joins, I just mark them active again and all is good.   Exporting to StatsGenie is super easy, and does a tremendous job of tracking information. 

We are entering our 4th year using TD and StatsGenie--I would not be running this league were it not for the time-saving capabilities of these two tools.

It really has not been as much of a hassle at all to zero out the points, but I may check out the Stats Genie anyway. I really don't know much about it. We might make a change next season where we only count the ten best scores (out of maybe 13-14), so I'm already looking into how I would track that in TD, but maybe Stats Genie would help with that also. Thanks.

Interesting that you let people decide to count a tournament after they know how they've done.

We might make a change next season where we only count the ten best scores (out of maybe 13-14), so I'm already looking into how I would track that in TD, but maybe Stats Genie would help with that also. Thanks.
We only count top 6 out of 10 and StatsGenie takes care of that automatically as well.

Interesting that you let people decide to count a tournament after they know how they've done.

Serves as an incentive to join, especially later in the season.  And they aren't necessarily deciding to count the tournament; they are deciding whether or not to become a dues paying member of the club.

We just played our championship tournament this weekend and overall this season was a great one. We had 25 players, more than double last year's, and over $6,700 in the prize pool.

Getting back to my earlier question in this thread, it did get to be a bit of a pain toward the end of the season, as more people who had played with us a few times decided to join the league and start playing for points. In fact a couple who had played in most of the tournaments did this, so after making them league members, I had to go back and manually adjust the points it awarded them for all the prior tournaments.

I do think I have a solution for this. I was thinking of counting the $20 per tourney fee as an Add-on, but I don't want to make it part of the prize pool for that tourney. I just keep track of them in a spreadsheet and enter each player's total as their buy-in for the league championship. So I played with using an add-on of $0 for 0 chips, and it seems like it will work. It let me enter the add-ons before the tournament started (I just had to click override), which would be convenient. And we never play with re-buys or add-ons in our league tournaments, so I think I have my solution.

So instead of "if inLeague = 1" I would just use "if na [or numberOfAddOns] = 1" (or >0) in my points formula.

hello evry one, im new to the forum,tourny director user for 2 weeks still on trial time,i run a league,small league,10 week league to a $250 sunday game at local casino,$5 a week from every player goes in the ticket fund,those players play for points,and then we have a side pot for cash 10$,tht way any other players besides league player are paying only ten.so buy in has been five with a rake of 5,doesnt show up in the prize money,then i give 10 add ons for  0(zero)chips, that way avrge chips stack stay correct,any non club members i buy in at o and rake 0,then give them an add on so the prize money is correct.the problem i have is one player doesnt pay for the side pot, only pays his 5 for the points, so i have to manually put in prizes at the end instead of it be automattic because he isnt in the prize pool only points lol, can u figure a way around tht one lol,

i do like this program tho

Basicly, we do the same... but i saved this using a member card... i will explain:

Any player at any satellite tournament earns points... regardless of their status.

I am selling a membership card, which, in statgenie, i make them a Regular (with member card) or a Spare L1 to L5 (depending on how often they play).

So when i send an invite, all regular members have priority on non-members to all tournaments, and for the championship, only members are invited... So when i run down the season points, only the members are calculated in the stats... Easier to manage this way, and it's the best way to manage this with ease...
